Media Policies

Staff and students working in Communications may take photos and audio or video recordings to be used on the Knox College website and other digital communications, in print publications, and for publicity purposes.

Knox does distinguish between photos taken in living areas and those taken in public spaces, such as Seymour Union and Memorial Gymnasium. As a matter of policy, photography of individuals is not permitted in living areas without explicit permission from those being photographed. If the photograph use will include identifying information, permission will be requested of the subject.

Opt-Out Policy

All Knox College students, faculty, staff, or visitors who do NOT want their image/photograph and/or video presence captured and used for communications, marketing, or publicity purposes have the opportunity to opt out. Each person entering Knox College as a student or employee is required to review the Media Opt-Out Form linked below and, if the student or employee wishes to opt out, submit the completed form to the Office of Communications. This policy is effective immediately. Please be advised that images and videos taken in public spaces and/or at public events do not require authorization for publication and the Media Opt-Out Form does not apply to such images or videos.

When a completed Media Opt-Out Form is on file, the College will make every effort to honor that individual's Opt-Out status. Individuals who submit a completed Media Opt-Out Form are also responsible for removing themselves from areas in which photography and/or recording is taking place, or notifying the camera operator of their opt-out status. Failure to do so may result in that individual's inclusion in a photograph or recording and may be treated as consent for the College to utilize that photograph or recording accordingly.

Campus-Wide Events

The media opt-out policy applies to individuals who attend special events on the Knox College campus, including Admission open houses, Homecoming, and Family & Friends Weekend. Individuals who do not wish to have their image recorded can fill out the Media Opt-Out Form and return it directly to the Office of Communications.

Individuals who submit a completed Media Opt-Out Form are also responsible for removing themselves from areas in which photography and/or recording is taking place, or notifying the camera operator of their opt-out status. Failure to do so may result in that individual's inclusion in a photograph or recording and may be treated as consent for the College to utilize that photograph or recording accordingly.

Minors

Photographs of minor visitors to campus, such as elementary students, summer campers, and those planning or attending non-Knox sponsored events held on campus should generally not include identifying information, including name or hometown. Before using such photographs for Knox College advertising or promotional purposes, including any photographs accompanied by identifying information of the minor visitor, written parental permission shall also be required.
